Output formats for reading, editing and archiving

The format of a document follows its purpose: a PDF for filing and sending, a Word file for further editing, a spreadsheet for analysis.

Three kinds of templates

Every template defines what it produces – and therefore which formats are possible. Reporting does not guess structure: a spreadsheet comes from a spreadsheet template, not from taking a text document apart.

  • Document: HTML and PDF – for reports, certificates and documentation.
  • Word: DOCX – when recipients continue editing the result.
  • Spreadsheet: Excel (XLSX), OpenDocument (ODS) and CSV – for analysis and further processing.

The same report in several formats

If a report is to be available as a PDF and as a Word file, there are two templates for it, each with its own name. This keeps every template simple and the result reliable in every format. The CodamAI Hub itself works this way: it produces a project’s architecture documentation, data protection overview and operations manual as PDF, HTML and Word, in German and English.

PDF for archiving and accessibility

For PDFs you can choose a profile: a plain PDF, PDF/A-3a for long-term archiving, PDF/UA for accessibility, or both at once. With the tagged profiles, the PDF contains a structure of headings, paragraphs and tables that a screen reader, for example, can read aloud; the document language is recorded for this. Fonts are embedded.

You set the default profile per project – out of the box it is PDF/A-3a. An individual request can choose a different profile.

Spreadsheets without formulas

Spreadsheets contain only finished values – text, numbers, dates, true/false values –, with several sheets, column widths, header rows and number formats. Numbers remain real numbers that recipients can keep calculating with in their spreadsheet program. Formulas deliberately do not exist: every value is prepared. In CSV files, values a spreadsheet program would execute as a formula are defused.

Only what you need

In the CodamAI Hub you choose per project which formats the system offers. HTML is always included; only the selected formats are built in. HTML output is self-contained: the template’s logo and fonts are embedded, and the page needs neither the network nor Reporting to be displayed in full.

This way, recipients get every document in the form they actually work with – for filing, for further editing or for analysis. And your system contains only the formats it really needs.
